This policy is split by surface because the public site collects much less information than the member and admin dashboard.

This Privacy Policy explains how Akron Executives Association ("AEA," "we," "us," or "our") collects, uses, shares, protects, and retains information across two different surfaces: the Public Site and the Dashboard.

The Terms of Use explain the rules that apply to both surfaces.

Public Site

Privacy for the public website, directory, map, and contact pages

You can browse most public pages without creating an account. Because of that, the public site collects much less information than the dashboard.

In this policy, the Public Site means visitor-facing pages such as the home page, about page, categories, directory, map, contact form, and similar marketing or discovery pages.

  • Public business listing content that members or administrators choose to publish, such as business name, category, description, services, website, social links, logo, and location.
  • Contact form information you submit, such as name, email address, phone number, subject, topic, and message body.
  • Public-form security data used to prevent spam and abuse, such as Turnstile challenge tokens, IP address, user agent, and rate-limit signals.
  • Basic request data needed to render public pages, including directory and map filters included in page requests.
  • No visitor account is required just to browse the Public Site, directory, categories, or map.

Dashboard

Privacy for sign-in, onboarding, member tools, billing, and the admin console

The dashboard and account services collect more information because they support membership administration, business management, billing, notifications, and administrative oversight.

In this policy, the Dashboard means sign-up, sign-in, password reset, onboarding, member pages, business management flows, notification settings, billing tools, and the admin console. Some of those pages are reachable before login, but they are still part of the Dashboard data model.

  • Account and authentication data, such as first and last name, email address, password credentials or SSO identifiers, email verification records, session records, IP address, user agent, two-factor data, and authentication rate-limit data.
  • Member profile and contact data, such as phone number, mailing address, timezone, job title, birthday if provided, and profile image or related upload metadata.
  • Business and membership data, such as business name, description, category, services, service tags, mission statement, locations, phone and email, social links, logos, icons, representatives, claims, invitations, and membership roles.
  • Uploaded files and media, such as profile images, business logos, business icons, and membership-related documents.
  • Member activity and collaboration data, such as leads, referrals, site visits, onboarding state, notification preferences, inbox items, digest queue records, and related operational events.
  • Billing and dues data, such as Stripe customer identifiers, subscription identifiers, invoice identifiers, plan selection, invoice status, hosted invoice URLs, and payment-attempt records.
  • Administrative and compliance records, such as audit events, user management actions, suspension or deactivation reasons, contact-message handling, and privacy-request handling.

How we use information

We use information differently depending on the surface involved.

  • Public Site: to publish and maintain the directory and map, respond to contact requests, protect public forms from spam, and improve the reliability and accessibility of public pages.
  • Dashboard: to create and secure accounts, verify membership, complete onboarding, manage business profiles, process claims and invitations, send notifications and account emails, administer dues and billing, support members and administrators, and enforce association rules.

How we share information

We share information only as needed to operate the services, administer the association, protect the community, or comply with obligations.

  • Public Site information may be shared publicly when it is intended for public directory, map, or profile display.
  • Dashboard information may be shared with AEA directors, administrators, officers, committee members, and authorized representatives when needed for membership, support, governance, billing, or operational purposes.
  • Both surfaces may rely on service providers for hosting, storage, authentication, email delivery, maps, anti-spam protection, payments, logging, and security.
  • We may also share information when required by law, court order, tax or accounting obligation, governance process, or to protect the rights, safety, and security of AEA, its members, visitors, or others.

Retention and security

We try to keep collection proportionate to the service being used. Public Site collection is intentionally narrower than Dashboard collection.

We retain information for as long as needed for association operations, account administration, directory publishing, legal compliance, accounting, security, backup, dispute resolution, and legitimate organizational needs.

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, misuse, loss, and alteration. No online service can guarantee perfect security.

Your choices and rights

You may request access to, correction of, deletion of, or limits on certain personal information by contacting AEA.

Dashboard users can update some account, business, and notification settings through member tools when those features are available. Some data may still need to be retained for legal, accounting, security, governance, billing, or operational reasons.

Children's privacy

The Public Site and Dashboard are intended for adult business representatives and are not directed to children under 13.

Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new last updated date. Material changes may also be communicated through the services or by email when appropriate.
